Risk Assessment Matrix
Recent sad events reinforced the need to understand the risk involved with different types of events. Mark Breen is an #eventprof I like. He suggests to embrace risk and offers an amazing template to makes sense of your event risk factor.
He guides you through assessing the risk in form of Severity and Likelihood. Whatever kind of event you run, you have to run it past this matrix soon.
Event Checklist
Arwin Adriano is an event blogger I like. He's called his blog Event Checklist and you know I am a fan of practical advice. I guess I made clear how I hate general and superficial advice.
Well he suggests 4 event and meeting checklists that you can use for your event now. I believe that if you just approached the world of events, these are great references to avoid forgetting macroscopic elements. I am sure seasoned planners too will find some benefit, no matter how seasoned they are.
Event Marketing Health Check
I am a big fan of William Thomson. He organised Event Tech Circus and Tech Fest, two top events in Europe for event technology enthusiasts.
His approach to events is something I am very fond of. He's got years of experience as a PCO and it shows in his work. I've worked with one of his templates while participating as a Media Partner in Event Tech Circus. they are plain amazing.
This Event Marketing Checklist is a must have for PCO and novice conference planners alike, a great tool to make sure that your event is being marketed in the right way.

This is one you want to pass to your designer or one in Photoshop. Getting your Facebook images right is so important to convert RSVPs.

Wedding Day Timeline Template
I love this template. It is so to the point. Why? Because we know how the tension builds up the day of the event. You can imagine the scale of emotions when the planner is also the bride.
Wedding day usually sees people collapse for the emotions or cry for joy. This template will help you to rationalise a few steps so that the only emotions you will feel will be the ones related to the fact you are getting married, rather than for the cake not being delivered.
Budget for Fundraisers
If you plan fundraisers, you probably use Excel to keep track of donations. If this is the case, Microsoft has a free fundraising donation tracker template to download for free.
I don't need you to present either Excel or Microsoft, yet this template is quite intuitive and easy to use.

Proposal Synchronized swimmers and sync tank + free running show Size, access and weight restrictions: Due to the size and weight of the water tank, it is vital that the loading, access and weight restrictions are confirmed with the venue prior to confirming you wish to proceed with the Sync Tank act. The specification information and visual for each tank option is detailed below. The transportation set up, safety and breakdown will all be managed by JULIA CHARLES EVENT MANAGEMENT LTD and the tank supplier, and a site visit will be required prior to confirming the final logistics and costs for the event. Other Information:
The overall price includes the underwater speaker plus a choice of costumes from the our selection.
The client will be responsible for covering the appropriate travel expenses of the athlete/s and choreographer/coach
The client will be responsible for arranging and covering appropriate accommodation for the athletes, coach and engineer.
Logistical implications to be considered:
Water supply
The costs detailed above do not include water supply costs. A water supply will be required at the venue in order to fill the water tank – ideally this would be in the form of a water hydrant so that tank could be filled quickly. A conventional water supply will suffice but the tank will take much longer to fill.
Alternatively, a water supply can be supplied along with the tank at an additional cost.
Water heating
The tank will be filled with cold water which will need to be heated prior to the Sync Tank performance. Once the water tank is in position, please allow a 24hr period prior to the start of you event to fill and heat the tank. This timeframe is subject to final confirmation of the water tank required and is site dependent as it may be possible to complete this process in a much shorter timeframe.
Drainage
The water will need to be drained prior to removal of the tank. The time required for this will be dependent on the venue.

We can incorporate both the synchronized swimmers and the free runners in to one unique never been seen before show. The swimmer will start the show with an elegant swimming routine for the 1st ten minutes once they have finished the tempo will change dramatically as the free running athletes introduce themselves with a fast paced modern acrobatic show which is guaranteed to leave the audience in awe.
Each act will take turns in performing as to make up time but we could have both acts doing there final peace together as the grand finale
Free runners
Free running has taken the world by storm so why not take your event by storm to with our amazing free runners.
They perform jumps summersaults and all sorts of high flying intense acrobatics that push the human body to the limits

Below is a running time to give you an indication of how your event can run
1pm – show starts – swimmers bespoke 10 minutes
1.10 – free runners 10 min introduction display
1.20 – swimmers 10 minute bespoke set
1.30 - free runners 10 minute jam set
1.40 – sync swimmers solo set 5 minutes
1.45 - free runners intense impact show 5 minutes
1.50 – second solo swimmer set 5 minutes
1.55 – walk about acts 10-15 minutes to allow for intermission and break for the athletes
2.10- sync swimmers 10 min bespoke routine
2.20- free runners jam set
2.30 bespoke show with swimmers and free runners together. 5 minutes of swimmers and 3- minutes max for impact show and then further 5 minutes with swimmers
2.45 show ends walk about acts start interacting with the audience for 10-15 minutes as guests leave
